The 2-Minute Triage Rule

Here's something most productivity advice won't tell you: the biggest ADHD productivity killer isn't distraction.

It's decision paralysis at the start of work.

You sit down. You look at your list. You spend 40 minutes trying to decide what to do first. By the time you choose, the motivation is gone.

Sound familiar?

The 2-Minute Triage Rule eliminates this entirely. Every task gets sorted in under two minutes into one of four buckets:

1. Do Now: Takes under 2 minutes? Handle it immediately. The overhead of tracking it exceeds the cost of just doing it.
2. Schedule: Goes into the right energy queue for your next matching window.
3. Delegate: Someone else can do it 70% as well? It leaves your plate.
4. Drop: Been on your list 3+ weeks and the world hasn't ended? It probably doesn't need doing.

The triage happens when the task arrives, not during a weekly review you'll skip. Your system stays clean. Your decision-making load stays low.

Project Breakdown Architecture

Large projects are where things get stuck most catastrophically.

The vision is clear. The excitement is real. But the gap between "I want to launch this" and the first step? That's a cognitive chasm.

The Project Breakdown Architecture bridges it with three levels:

Level 1: Milestones


What does "done" look like? Not vague goals. Observable outcomes.

"Landing page is live and receiving traffic" instead of "work on marketing."

Level 2: Action Sequences


Each milestone breaks into 5-8 ordered actions. The sequence removes the "what should I do next?" question entirely.

Level 3: Next Actions


Exactly one task is active at any time. Specific enough to start without thinking:

"Draft the headline and hero copy" not "work on the landing page."

Every action has completion criteria, a clear signal that says "this is done enough, move on." Without it, perfectionism traps you in endless refinement of step 2 while steps 3 through 8 never begin.

Context Switching Protocols

Research shows context switches cost neurotypical brains 15-25 minutes of recovery. For ADHD brains, it's 20-40 minutes, and recovery isn't guaranteed.

A single interruption during a hyperfocus session can destroy 2-3 hours of productive flow.

The protocols address this at three levels:

Prevention: Batching and Blocking
- Group similar tasks into 90-minute blocks
- All email in one block, all calls in another, all creative work in another
- Switching cost between similar tasks is near zero

Protection: Interruption Shields
- Physical signals: closed door, headphones
- Digital signals: status indicators, auto-responders
- Temporal signals: "I'm unavailable 9-11am Tuesdays and Thursdays"

Recovery: Transition Rituals
When switches are unavoidable, a 3-minute ritual:
- Write down exactly where you stopped
- 60 seconds of physical movement
- Re-read your next action before diving in

The Weekly Review (That You'll Do)

Most productivity systems include a weekly review. Most ADHD entrepreneurs have never completed one.
